We have our first official event tomorrow after holding two fun-run style events to test out our new system. So far everything is going swimingly at the events. However, I'm having an issue or understanding challenge (there are no problems, just challenges and opportunities! :-).
I use an Excel spreadsheet to create my registration list which includes all of the fields identified on the Import screen in AXTi.me:
First, I see other/more fields on the Registration detail screen for an individual which I could fill in, but the format description doesn't include them. Why? Or, is the sample headers not current and I actually can include them?
My workflow includes assigning run groups to individuals BEFORE I do the import and I include the group number for each person. I've tried using a number and using the color text RED, BLUE or GREEN for 1, 2, or 3 respectively.
Everything imports, then I go into the Registration module and look at each person... there is no run group assigned to them. It seems my value has been ignored during import.
OK, no problem... I can do it one at a time manually in the Registration module, all 96 folks for tomorrow, and the Registration list shows everyone has a run group... Cool!
Then I go into the check-in module and no one has a run group assigned. Shouldn't they?
I create a new event and start over. I do everything the same except I do not manually assign run group to each individual in the Registration module, instead I use the "assign run groups by class" feature. This is great if all of the racers ran with their class, but some do not and I need to adjust them manually. I put all of those folks into one of the other goups since every group must be selected for this to execute.
I do this rungroup assignment in the Registration module, so I look at individual records there to see that it worked. Nope, none of the individuals have a run group assigned to them in the registration module.
I can go into the Checkin module, there I see run groups assigned and I can change the folks I need to here... but only when I'm checking them in! I do not want to check them in ahead of time, and I do not want to have to do manual run group assignments tomorrow morning when I'm in my quiet place running down the list checking people in.
So.... that's a long explanation... is there any magic I can do that will pre-assign run groups at import time and have those show in both Registration module and Check-in module?
This kinda matters because of how results are published during the event. I'd like it to be accurate for the folks driving.
